How to Effectively Answer More Calls

Intelligent Call Routing (ICR) used to be known as an IVR, or an Auto Attendant.
A Virtual Receptionist is a user-friendly term which we still use.
Call7.com’s Call Routing is more advanced offering more options for your business.
The end goal is to process more calls without adding more people.

  • What a customer first hears when calling your business tell them: You mean business and are here to serve them. A professionally recorded greeting for your Virtual Receptionist does make a difference. You may record your own greeting or use our amazing Text to Speech system which provides a choice of languages and voices.
  • Here is some examples of Intelligent Call Routing for a Medical / Average Business:
  • Dial By Extension: Once callers reach your system, they are provided with the option to dial by Extension. This feature is handy to for employees calling in, to go directly to an associate’s extension. And if the Associate has Find-Me-Follow Me in place, the call will go out to their cell phone or mobile app.
  • Provide Language Options for the prompts, for example: Callers can choose to press 1 for English, or 2 for Spanish.
  • Calls can be automatically re-routed: Calls to sales, my ring specific phones, however, if those phones are either busy or do not answer, you may wish to have the calls go to a second ring group, rather than Voicemail.
  • Calls can be guided through multiple levels of greetings sending the call to the best option based upon the callers needs. Calls can be sent to Outgoing Only Message boxes which issue directions and information, Voicemail only message boxes which do not ever ring to a phone, and to additional instructions allowing for more options.
  • New Patient / Client / Customer calls will ring into a specific group of phones. If the call is not answered by that specific group, the call will then go to a secondary group of phones. 
  • Prescription Refill / Re-Order / Change Order calls: These calls are important but not urgent. They can go to specific Voicemail box, where the patient is instructed to leave specific Information and told they will be notified by their pharmacy when the refill is ready. The Message is then left on the specific phone, as well as Transcribed and sent to our Secure MaX-UC Desktop App. The associate in charge of Prescription Refills may retrieve the message on the desk phone, as well as Desktop App. We may also copy multiple email addresses.
  • Appointment cancellation / appointment changes: These calls may ring to a group of phones, or not. That depends upon your office. They can ring to a group of phones and when not answered, will go to a specific voicemail box with a greeting and specific instructions. The message may be retrieve via the phone. The message will also be Transcribed and sent to the Max-UC Desktop app, as well as an Email address.
  • Billing and Accounting: These calls are important, but not urgent. They can go to specific Voicemail box, where the patient is instructed to leave specific Information. The Message is then left on the specific phone, as well as Transcribed and sent to our Secure MaX-UC Desktop App. Those in charge of accounting may retrieve the message on the desk phone, as well as Desktop App. We may also copy multiple email addresses. 
  • Ring out to Cell Phones: Calls may ring out to one, or depending upon how you set up your service: To a Group of Cell Phones. Using the Mobile App on your cell phones, turns those into Extensions. Thus call can ring out to any Ring Group, whether the group is made up of office phones, Cell Phones, or a combination of both.
  • Office Hours / Holidays and Weekends: Your office hours, Holidays, Nights and Weekends are set for automatic hours of operation. Office hours calls are handled by your pre-set options as outlined above. After-Hours call treatments are set to go either to our Built-In Allison Answers service or your preferred answering service.
